Privacy Policy

Kairotope plans errands and commitments around real opening hours and traffic. To do that it needs to know about places in your life: your home, the stores you use, where your kids' activities are. This page explains what we keep, why, who helps us process it, and how you can take it with you or delete it.
The short version
- We use your information only to plan your day and to make planning better. We never sell it and never use it for advertising.
- Saved addresses and locations are encrypted in our database.
- You can see everything we hold, download it, and delete your account at any time from Your data.
- No ads, and no tracking pixels in our email. We count website visits with Umami, which uses no cookies and collects no personal information.
What we collect
Account
Your email address, used to sign you in and to send you plan emails you've asked for.
Places and preferences you save
Places you ask us to remember (for example "home" or "my pharmacy"): your label, the place's name, its address and its map location. Addresses and locations are encrypted before they're stored. Preferences you give us, such as the longest drive you're willing to make.
Planning requests and plans
What you ask for (your words, the date, and any calendar commitments you or your assistant send), the plan we return, and whether you confirmed it, changed it, completed it or rated it. We use these outcomes to make plans better.
Technical information
For each connector token: when it was created and last used (we store a one-way hash of the token, never the token itself). Our hosting provider keeps standard server logs, which include IP addresses, for security and troubleshooting.
Website analytics
We use Umami to count visits to kairotope.com: which pages are viewed, the referring site, and general browser, device and country. Umami sets no cookies, doesn't track you across sites, and doesn't collect personal information. Sign-in links are excluded, and nothing you plan with Kairotope is sent to Umami.
Sensitive information
Precise locations and family schedules are sensitive. We collect them only when you or an assistant acting for you gives them to us, and we use them only to plan for you. By saving a place or sending a request, you consent to that use. You can withdraw consent at any time by deleting the place or your account.
Children
Kairotope is for adults 18 and over. Planning often involves children (a school pickup, a swim practice), so you may give us a child's first name, school or activity times. Please share only what a plan needs. We don't knowingly collect information directly from children.
Who helps us process it
We use these service providers to run Kairotope. Each receives only what its job needs:
- HERE Technologies: map search, routing, traffic and weather. Receives place searches and map locations, not your name or email.
- Anthropic (Claude): reads your request to work out what needs planning. Receives your request text, commitments, and the labels and names of your saved places, not their locations. Anthropic processes this under its commercial API terms.
- Netlify: hosts our website, servers and database.
- Resend: delivers our emails.
- Umami: cookieless, aggregate website visit counts (see above).
If you use Kairotope through an AI assistant such as Meta's Muse, that assistant sends us your requests and receives your plans. Its own privacy policy governs what it does with them.
We may disclose information if the law requires it. If Kairotope is ever sold or merged, this policy continues to apply to the information we hold, and we'll tell you before anything changes.
How long we keep it
We keep your data while your account exists, with two limits that come from our map provider's terms:
- Saved places: we keep your own description of the place (for example "2028 Portobello Rd" or "the Walgreens on Whitestone"). The map details we look up for it (coordinates, formatted address, business name) are refreshed at least every 30 days. If a place can't be found again, its map details are removed and only your description remains, until you tell us where it is again.
- Plans: after 30 days, stored plans keep only their times, your labels and how they turned out. Place names and addresses are removed.
When you delete your account, your places, preferences, plans and tokens are removed from our database immediately. Copies in our providers' backups expire on their normal schedule. Sign-in links expire after 15 minutes and are deleted a day later.
Your choices and rights
- See and download everything we hold: Your data → Download.
- Correct or remove a saved place or preference: remove it on Your data, or tell your assistant to forget it.
- Delete your account and all its data: Your data → Delete account.
- Disconnect an assistant: revoke its token on Connect.
Depending on where you live (for example Texas or California), you may have further rights, such as appealing a decision about your request. Email us and we'll respond within 30 days.
Security
All traffic is encrypted in transit. Saved locations are encrypted at rest, connector tokens are stored only as hashes, and sign-in uses one-time links instead of passwords.
Changes
If we change this policy, we'll update the date above. For significant changes we'll email you before they take effect.
